The following are steps to take to close out a grant --
Final Reports -- work with Research, Evaluation & Assessment to determine timeline for final report submission.
Staff -- if you worked with Human Resources to hire staff, you are required to work with them to terminate your grant staff and you must contact them by March of your final grant year.
Redistribution of Grant Materials -- supplies purchased with state or federal grant funds are property of the granting agency. If the grant materials are no longer needed to sustain grant activities, they must be offered for return. If they are to be kept in the district, they first are to be used to sustain the grant activities. If the grant activities are ending they are to be redistributed to other projects supported by that granting agency. Typically this means they can go to the following areas:
What To Do with Grant Related Files -- all files and paperwork related to a grant are to be retained for seven years. Documents such as communications with the state/federal agency, meeting agenda/sign-in sheet, copies of pay documents and other general paperwork can be stored at Innovation and Development.
